Job description

The primary focus of this role includes a variety of tasks to provide administrative support the wider team unit along with managers/directors/reception when required. 

Responsibilities:

  • Schedules and maintains calendar of appointments, meetings and travel itineraries, and coordinates related arrangements
  • Tracks operational data in a database, including financial and other reporting metrics
  • Uses software tools to compile data into presentation format
  • Maintains accurate schedule of activities of the leader/executive supported, including complex meeting coordination and may include travel arrangements Independently prepare presentations and recurring reports
  • Coordinates special projects and department activities
  • Coordinates office functions with other departments
  • Receives and responds to routine correspondence following established procedures
  • Supports Director and Managers
  • Maintains filing system;
  • Order office supplies
  • Utilizes general business equipment such as fax and copier in the performance of assigned duties
  • Plans and coordinates meetings and special events as required
  • Assists in the preparation of regularly scheduled reports, processes and check requests
  • Receives telephone calls, incoming mail and other correspondence and route as appropriate
  • Reception cover if needed
  • Supports Manager(s) by typing proposals, letters and other correspondences
  • May reconcile expense reports, process check requests and make travel arrangements
  • Perform other related duties as required

Requirements:

  • A team player, who is willing to assist when needed 
  • High level Excel and PowerPoint knowledge 
  • Exceptional communication skills with staff and clients at all levels of the business
  • Highly organised individual who can prioritise their workload
  • A key part of the role includes organising work events, travel and correspondence 
  • At least 2 years of experience in a similar position
  • Outgoing, energetic and a passion to reflect work to customers 
  • Exceptional customer service and a positive attitude 
  • Previous experience working for a large infrastructure company would be an advantage
