Bid Office Manager
  • ASAP start on a major infrastructure bid within a fast-paced, high-performing project environment, with contract through to October 2026 and strong potential for extension
  • North Sydney location working closely with senior stakeholders, delivery partners and large-scale infrastructure project teams
  • $98.70 per hour + super, overseeing bid coordination, governance, document control and end-to-end office operations
 
We are currently partnering with a leading infrastructure organisation to recruit an experienced Bid Office Manager to support a major tender project within a fast-paced, high-performing bid environment.
 
This is a pivotal role responsible for the end-to-end management of the bid office, ensuring all administration, governance, systems, processes and coordination activities run efficiently throughout the full bid lifecycle. You will work closely with the Project Director and broader bid team, providing operational leadership and high-level support across complex infrastructure tenders.
 
The Role
  • Managing the day-to-day operations of the bid office for major tender submissions
  • Coordinating bid schedules, meetings, agendas, minutes and action tracking
  • Overseeing document control, version management and records administration
  • Managing SharePoint access, onboarding/offboarding and maintaining access registers
  • Coordinating office logistics, contractors and service providers to support smooth operations
  • Supporting governance, probity and compliance requirements across the bid process
  • Assisting with bid cost tracking, invoice processing, timesheets and financial administration
  • Providing high-level support to the Project Director and wider bid leadership team
  • Maintaining structured filing systems and ensuring audit readiness throughout the bid lifecycle
  • Supporting workshops, presentations and stakeholder coordination activities
 
About You
  • Previous experience managing bid offices or large-scale project administration functions
  • Exposure to complex bids, infrastructure projects or Public-Private Partnership (PPP) tender environments
  • Strong understanding of governance, probity and compliance processes
  • Exceptional organisational skills with the ability to manage competing priorities and deadlines
  • Strong stakeholder management and communication skills
  • Advanced Microsoft Office and SharePoint capability
  • Excellent attention to detail and document management skills
  • Confidence coordinating meetings, preparing minutes and managing sensitive information
  • A calm, proactive and solutions-focused approach within fast-paced environments
