Job description
Office Coordinator- Start immediately to support smooth running of the Sydney office and coordinate logistics across Melbourne and Canberra offices.
- Immediate start – 30th June (with potential extension or permanent) at $55 per hour + super. Hybrid work available, typically 3 days in the office and 2 days from home, with occasional 5-day office weeks during busy periods.
- Collaborate with leadership and EA/EO teams to ensure efficient operations and effective stakeholder support.
Key Responsibilities
- Manage end-to-end operations of the Sydney office, including stationery orders, facilities contracts, vendor coordination, building manager liaison, and office visits.
- Oversee logistics and coordination for other offices (Melbourne and Canberra) in collaboration with local office staff.
- Support the smooth running of administrative functions alongside EAs, including general admin, meeting preparation, and note-taking.
- Act as main point of contact for building managers and office-related matters.
- Track deliverables, follow up on priorities, and support cross-team coordination.
- Identify inefficiencies in workflows and recommend improvements to processes and operational systems.
- Support leadership with administrative tasks, data management, and preparation of briefs, board notes, and reports.
- Explore opportunities to leverage AI tools, including Co-Pilot, to improve team efficiency and productivity.
- Support wider EA/EO team in operational and administrative processes to ensure consistency and effectiveness across the office.
- Proven experience in office coordination, administration, or office management roles.
- Strong organisational skills with the ability to manage multiple priorities in a fast-changing environment.
- Commercially minded, confident in working with a variety of stakeholders.
- Experience working in established environments with structured processes is highly desirable.
- Comfortable learning and using AI and productivity tools to enhance efficiency.
- Excellent communication, attention to detail, and problem-solving skills.
