Job description

Primary Purpose
To provide a range of Administration and Clerical support duties including the use of records management systems, invoicing, data entry and correspondence handling.

Duties

  • Draft, coordinate and track correspondence, submissions, briefing notes, and project related documentation and presentations.
  • Financial Support, including administering budget expenditure, monitoring purchasing activities, reconciling accounts and maintaining summary databases.
  • Records Management
  • Organise committees and meetings, prepare and submit agendas, minutes and briefing papers, and follow up on the status of action items.
  • Raise purchase order requests for goods and services, process invoices for payments and liaise with contractors and suppliers to organise the provision of goods and services and the maintenance of stores and equipment.

  • The ability to consider options, develop solutions and decide on an action
  • MS Office: Word, Excel, PowerPoint at an intermediate to advanced level
  • Experience with TRIM and SAP software packages is desirable
  • Experience in Government Departments as an Administration or Team Assistant
  • The ability to display discretion and confidentiality
