Executive Support Officer - NSW Government

  • $43.20 per hour + super
  • Immediate start - Initial 6 month contract with view to extend
  • Parramatta location with occasional days required in the CBD office/Hybrid
  • Full time, 38 hours/week

This large NSW Government department is seeking an experienced Executive Support Officer for an initial 6 month contract with an immediate start. You will be working alongside the Executive Director with the role offering hybrid flexibility and a supportive, friendly working environment. The ideal candidate will have extensive administration experience in supporting Senior Leaders.

 

Responsibilities include but not limited to:

  • Assess and prioritise requests to facilitate the optimal use of the executive’s time
  • Manage the Executive Directors calendar/diary, information flow, records and correspondence
  • Coordinate travel arrangements, and schedule and support meetings to facilitate the effective management of their agenda
  • Draft and prepare correspondence, agendas, minutes, presentations and briefing notes
  • Gather, collate and provide background information for the executive to support informed decision making and planning
  • Maintain and update administrative practices, systems and procedures to improve efficiency and service delivery
  • Build and maintain relationships with other business areas

Skills & Experience

To be successful, you ideally would have:

  • Previous experience in an Executive Assistant or Executive Support role
  • High level diary management skills
  • Demonstrated high level interpersonal and communication (written and oral) skills with an ability to build and maintain effective working relationships with a variety of stakeholders
  • Ability to prioritise and undertake simultaneous duties/projects to deliver successful outcomes while maintaining a high standard of professionalism
  • Well-developed organisational skills, including the ability to work independently and manage time effectively
  • Highly proficient with demonstrated experience in programs such as Office 365, Zoom, Teams, Sharepoint, One Note etc.
  • Government experience is beneficial but not essential, we require someone who is able to manage the complexities and processes of the working environment
