- Hybrid Model – 3 Days in the Office / 2 Days WFH
Our client, a key player in the educational sector, is searching for an experienced Ethics Administration Officer. This individual will be responsible for facilitating the functioning of both animal ethics committees and human research ethics committees. The ideal candidate will be adept at providing well-founded advice, managing routine tasks and collaborating with senior colleagues to address any complex matters that arise.
Job Responsibilities:
Assist in providing administrative support to Animal Ethics Committees and/or Human Research Ethics Committees or their subcommittees
- Aid in ensuring the smooth operation of the committees, including organising agendas, compiling reports and implementing committee decisions.
- Manage the processing and preparation of general correspondence to researchers regarding the outcomes of ethics committee evaluations, such as approvals, conditional approvals and other communications concerning research protocols and modifications. Adherence to specified deadlines for correspondence distribution is imperative.
- Maintain accurate records and prepare detailed minutes of meetings held by Human Research Ethics Committees and/or Animal Ethics Committees, as well as executive and sub-committee sessions.
- Contribute to efforts aimed at enhancing the quality of meeting minutes.
Offering guidance and educational sessions
- Addressing general inquiries regarding ethical applications for human and animal research through email, phone, or in-person interactions.
- Collaborating with senior personnel to manage intricate issues, this responsibility encompasses overseeing the management of generic email accounts and Service Now inquiries.
- Reviewing submitted applications to Animal Ethics Committees and/or Human Research Ethics Committees in advance to ensure completeness and facilitating efficient decision-making by the committees.
- Aiding in the coordination of training sessions for students, staff, and committee members.
Management of Information
- Administer systems to guarantee accurate storage of all data pertaining to animal and human research ethics protocols.
- Encompassing new applications, progress reports, annual reviews, and modifications.
- Perform regular upkeep of the human and animal ethics websites.
Process Improvement
- Contribute to the optimisation of ethics processes by aiding in the creation of new operational procedures and policies for the unit.
- Engaging in training activities and assisting in the implementation of new processes.
- Assist in the creation of training materials for a new research ethics management system.
Participates in ad-hoc projects and miscellaneous tasks.
- Offers adaptable assistance to fellow members of the ethics team to ensure the attainment of goals and adherence to deadlines.
- Performs job duties pertinent to the role's primary responsibilities, as sanctioned by the Manager and in line with the role's classification level.
Skills & Experience
- Demonstrated expertise in a comparable role.
- Capability to maintain discretion when managing confidential Committee matters.
- Proven adaptability and flexibility in dynamic environments.
- Aptitude for collaborative teamwork.
- Displayed initiative, adept at prioritising tasks and capable of independent work.
- Proficient computer skills, including a strong command of Microsoft Office Suite.
- Outstanding interpersonal, verbal and written communication abilities
- Exceptional proficiency in minute-taking, adeptness in meeting deadlines and ability to perform well under pressure.
