Job description
Duties/ Task
- Provide highly professional customer service both over the phone and via enquires received (including relaying informed messages to solicitors)
- Arrange appointments, attend to all preparation for meetings and record all key dates and information in the diary to support solicitors with the organisation of their schedules
- Undertake a range of administrative tasks for solicitors, including photocopying, assembly and distribution of briefs to counsel, mail outs, processing invoices, arranging couriers, travel and accommodation etc.
- Undertake accurate entry of all legal documents in the internal management system, ensuring all files (physical and electronic) are organised, compliant and up-to-date
- Co-ordinate and monitor the delivery and disposal of files and archives (tracking and recording of file movements)
- Undertake searches of systems and databases as required to provide information sought by enquirers
- Respond to enquiries and liaise with all relevant internal/external stakeholders
- Maintain the hard copy and electronic file collection of corporate records in accordance with statutory requirements.
- Co-ordinating and Overseeing the daily mail distribution (collect and organise delivery correspondence)
- Provide secretarial support in preparation of legal documentation and correspondence
Essential Skills
- Excellent organisation skills and experience in the provision of effective administrative support, and ability to prioritise.
- Excellent written and verbal communication skills and experience in working with minimal supervision.
- Demonstrated intermediate level word processing and spreadsheet skills. Experience using outlook, word and excel.
- Certificate 3 in Business Administration
- 1-2 years legal administration experience
