Job description

  • Part time, 3 days per week
  • 12-month contract
  • $30 per hour + Super


The Company:

Day to Day Duties:

  • Support the team on day to day requirements and act as first point of contact
  • Assist Report proof reading, formatting, editing.
  • A large amount of tracking, coordination and reporting.
  • Attendance at meetings from time to time to minute key actions
  • Assist site office with 100+ staff in temporary site accommodation requiring coordination of all requirements of occupation.
  • Assistant in coordinating team events / functions
  • Work closely with the clients/important stakeholders
  • Assist in the preparation of various documents including but not limited to reports, PowerPoint presentations, letters, spreadsheets, file notes
  • Assistance of Org Chart updates using InDesign
  • Booking meeting rooms, facilities, equipment, catering and services for the team
  • Managing, reconciling and processing expenses
  • Prioritise workload to manage and meet competing deadlines of a busy team
  • Coordinating the arrival of any new starters including welcome email and documentation
  • Draft and amend correspondence including but not limited to letters, emails and file notes
  • Receiving and accurate filing of original documents as required
  • Manage photocopying, printing, scanning and binding as required
  • Attend team meetings as required


Experience needed:

  • Previous experience in a busy Admin support role
  • Ideally commercial building experience
  • Intermediate PC skills – Word, PowerPoint and Outlook
  • Highly organised with the ability to prioritise, multi-task and manage competing demands in a fast-paced environment
  • Decision making capabilities
  • High levels of initiative and problem-solving skills
  • Time management skills
  • Strong customer service ethic
  • Confident with high levels of enthusiasm and professionalism
