About the Organisation:

 

Our client, in the Educational sector in Sydney is seeking an experienced Executive Assistant for a 9 month contract. They are a leading University in Australia with campuses across Sydney.

 

As the Executive Assistant you will be providing advanced administrative support to a director and their team, including but not limited to managing schedules, coordinating meetings, handling confidential information, and performing various tasks to enhance executive effectiveness. The successful candidate will have C Suite experience within a fast-paced and dynamic environment.

Additionally, you will be responsible for managing a team of administration staff.

 

Duties within the role will include but not limited to:

 

  • Act as the primary point of contact between the executive and internal/external stakeholders.
  • Screen and handle phone calls, emails, and other forms of communication, ensuring important matters are addressed promptly
  • Efficiently manage and coordinate the executive's schedule, including scheduling meetings, appointments, and travel arrangements.
  • Arrange and organize meetings, conferences, and events, including preparing agendas, materials, and catering as necessary.
  • Take meeting minutes and follow up on action items.
  • Plan and book travel itineraries, accommodations, and transportation for the executive, considering time zones, preferences, and budget constraints.
  • Maintain and organize important documents, reports, and files.
  • Monitor and reconcile expense reports, ensuring compliance with company policies.
  • Assist in various projects, research, and data analysis as requested by the executive.

Skills & Experience

  • Minimum 3 years previously as a C Suite EA working within a complex and large organisation – tertiary education preferred
  • Demonstrated ability to engage confidently with a variety of stakeholders
  • High level of relationship building and influencing skills
  • Highly competent in Microsoft Office with strong computer literacy skills
  • Well developed conflict resolution skills
  • Personable, easily interacts with all types of personalities and at all levels with a high degree of professionalism
  • Experienced in managing a team of administration staff and/or building a team
