Legal Administration Officer - Government

  • $42 - $46 per hour + super 
  • Immediate start, initial contract through to 28th June 2024 with likely extension
  • Parramatta Location
  • Full time, Monday to Friday

We are seeking an experienced administration professional with experience within the legal sector. In this role, the successful candidates will be providing support to the Principal Solicitor and wider legal team.


Previous experience in a similar position is highly beneficial.  

Duties within the role will include but not limited to:  

  • Providing day to day administrative support to the Legal Services Team, including business support to the legal unit manager
  • Managing emails and calendar for the legal unit manager
  • Maintaining a large database of the legal advice and precedents
  • Maintain records and archiving including litigation status, legal costs etc as directed by the Manager
  • Maintain legal status report, executive team monthly report, as well as the quarter executive divisional report
  • Administer legal accounts, receipt and request for approval and payment through TechOne system
  • General administrative support such as ordering stationery, catering, courier and postal arrangements, Word and spreadsheet processing, meeting agendas and minutes
  • Coordinate travel within organisational guidelines for the Legal Services Team and ensure itinerary and meeting documentation is provided on time
  • Facilitate internal and external catering and conferencing facilities
  • Maintain and develop office support systems including electronic document management system through Content Manager
  • Liaising with internal business support managers & staff in relation to legal matters
  • Liaising with Finance in relation to yearly expenditure, litigation and variances of the units budget for reporting purposes
  • Maintain Legal document registration through the Business Information Services team
  • Administer and balance Credit Card expenses of the legal team
  • Handling of confidential material in compliance with Councils confidentiality policy

Skills & Experience:

  • 2 + years experience experience in a similar role is ideal
  • Exceptional communication skills both written and verbal
  • Tech savvy, experience across multiple systems and software programs with the ability to pick up new systems quickly
  • Well-developed administration and organisational skills
  • Ability to communicate effectively with people at all levels.
  • Demonstrated legal research, problem solving and analytical skills
  • Knowledge of the administration in a legal office
  • Strong attention to detail and the ability to manage high work volumes and multiple projects simultaneously. Must be able to prioritise existing workload and adapt and respond quickly to changing demands and market conditions. Ability to work under pressure and within tight timelines
  • Capacity to work effectively as part of a team and provide reports in a timely manner
  • Ability to coordinate and organise necessary meetings and ensure appropriate agendas are prepared
  • Ability to record and prepare minutes of meetings
  • General knowledge of local government and Councils functions is beneficial but not essential
