Project Coordinator

  • St Leonards Location 
  • 12 Month Fixed Term Contract
  • $90 - $110k package 


Our client is one of Australia's largest financiers which has been around for over 30 years.  This organisation prides itself on being forward thinking and for thinking outside the box. 

An exciting opportunity is available for an experienced Executive Assistant to join this market leader on a fixed term contract for 12 months.

I am seeking an experienced EA who has moved into a Project Coordinator role or an EA who has been exposed to supporting a project lead.  

Your role will require: 

  • Coordinate projects to improve planning and delivery
  • Produce correspondence, presentations and reports both of a general and confidential nature
  • Organise and prepare Steering Committee meeting packs, sufficient for CEO, VP, Executive and Board level reporting
  • Coordinate Working Group and Project Governance meetings
  • Produce minutes for all Project Governance Meetings
  • Provide administrative support in tracking and reporting progress and performance of one or more projects
  • Maintain plans/schedules regarding time frames and maintaining budgets
  • Implement regular progress reporting for all projects and assist with the preparation of status reports
  • Gather data and update project reporting and administration tools
  • Act as custodian of all master copies of project’s information
  • Identifying anticipated problems within the projects(s) from an administrative perspective
  • Support day to day operation of the program / projects
  • Organise events, workshops and meetings
  • Organise travel arrangements for Working Committee
  • Manage the relationships with both internal and external stakeholders
  • Support process and system documentation and improvements
  • Support cross-functional teamwork   


You’ll be successful in this role if you have:   

  • Demonstrated experience as Executive Assistant with understanding of the project life cycle, project documentation, project standards and methodologies or extensive experience support Senior Executives and some experience with Project Coordination
  • Demonstrated strong stakeholder management skills, interpersonal communications skills and emotional intelligence
  • The ability to communicate with Executive Level
  • Previous experience in large, high profile projects is well regarded
  • Ability to effectively prioritise and execute tasks in a high-pressure environment
  • Experience in project performance reporting
  • Ability to work in a changing project environment
  • Excellent skills in MS Office (Word, Excel, PowerPoint and MS Project)
  • Experience using a Project Portfolio management system
